Context & Problem
Managing over 3500+ children across multiple age-group classes and over 50 campuses using spreadsheets, Word documents, and physical parent tags was a breaking point for Celebration Church International. The process was fragmented, error-prone, and provided zero visibility into attendance and growth patterns, health and safety records or operational efficiency.
The Breaking Point: Sunday morning check-in queues were long and stressful for parents.
The Blind Spot: Leadership had no analytics on attendance trends or instructor-to-child ratios.
The Risk: Physical tags offered no digital audit trail for safe child check-outs and no visibility on children's health status for effective management.
User Insights
Having frequently experienced high-stress check-in scenarios as an instructor and a parent, I discussed with core stakeholders: Children Pastors, Check-in Instructors, Admins and Parents. These are some insights and how they impacted the product:
Children's Pastors:
"I don't know if a child was absent or just not checked in. Another child was not checked out but has been handed over to the parents"
Impact: Mandatory digital audit trail for every check-in/out
Check-in Instructors:
"Sunday mornings are chaotic; parents are impatient"
